Position Description:

The Certification & Training Office Administrator is responsible for providing support to the certification program by working with instructors, reviewers and applicants to coordinate certificates/certification; maintain certificate/certification records and serve as a resource to administration and staff on issues relating to certification; Duties include monitoring the NAI certification processes, policies, procedures and related legal requirements.  The Administrator will also be responsible for other training logistics and assisting with promoting the certification and training program.

I. SKILLS & REQUIREMENTS

  • Excellent communication, customer service and relationship skills in person, online and by phone & email.
  • Computer skills are required, with specific emphasis on word processing and database management required.  
  • Ability to manage multiple projects and work assignments.
  • Prior experience using the latest versions of Microsoft Office Suite (Word, Excel, PowerPoint, Access), Google Drive and Dropbox. 
  • Prior experience with iMIS or other association management systems and learning management systems preferred.  
  • Ability to accomplish projects with little supervision.
  • Ability to travel when required for NAI conferences, management and participation preferred.
  • Desire to learn new skills and accept new responsibilities as required.
  • Ability to certify within NAI’s program as appropriate within the first year of employment.

II. RESPONSIBILITIES

  • Work with the iMIS Association Management database to process certificate & certification courses, registrations, and associated recordkeeping. 
  • Work with iMIS database administrator to develop new products and processes to help improve the member’s training and certification experience.
  • Work with NAI’s LMS, Top Class to build certification/certificate processes during implementation in 2022. 
  • Be a point of contact for NAI members (especially those certified) with questions or needing assistance.  
  • Communicate with over 650 hundred instructors and over seventy reviewers to answer questions and train on policies and procedures.
  • Schedule and set up support for all Certification and Training Department courses, national conference and other training events managed by the national office.
  • Monitor course registrations. 
  • Supervise and train Certification and Training Assistant and student worker.
  • Coordinate with and train bookkeeper regarding course invoicing and instructor status. 
  • Process professional certification applications, distribute applicant materials to reviewers, and monitor reviewer progress.
  • Recommend and implement revisions to current certification paperwork and digital processes under direction of the Certification and Training Program Manager.
  • Assist Certification and Training Program Manager with recommended improvements and changes in certification categories and policies as necessary to keep certification program within standards set by the industry and appropriate to the field, and implement changes as necessary.
  • Assist with training instructors, answering questions, and enforcing certification policies and procedures. 
  • Provide research to assist Certification and Training Program Manager with evaluation of the use and effectiveness of NAI’s certification program within the certification & interpretation industries.
  • Create and maintain department pages on the website.
  • Actively explore ideas and opportunities to cultivate an increasingly diverse and inclusive certification and training program. 
  • Provide back-up to other employees while away by completing some of their work responsibilities.
  • Other duties as assigned.

III. SUPERVISION & EVALUATION

The Certification & Training Office Administrator reports to, and is evaluated by, the Certification and Training Manager and is subject to the NAI Personnel Policy.  As of this date, the Manager is not located at the Fort Collins Office but coordinates with the Office Administrator through regular contact, weekly meetings and email. The Certification & Training Office Administrator may delegate portions of their responsibilities consistent with sound operations and authorized policies and procedures. Supervisory responsibilities include the Certification and Training Assistant, student workers, and volunteers.

IV. SALARY & BENEFITS

Salary range for this position is $45k - $60k. Benefits include health insurance, retirement contributions, life insurance, long-term disability, maternity/paternity benefits, sick, bereavement, military, domestic violence, jury duty and voting leave as well as flex-work schedules and professional development.  NAI recognizes eight paid holidays each year, including MLK’s birthday and Juneteenth. Employees also receive 4 additional personal holidays which may be used on any day of the employee’s choosing.

V. LOCATION

The Certification & Training Office Administrator will be expected to work primarily in the Fort Collins office of NAI. However, a combination of office and telework options can be considered and is negotiable. Relocation expenses will also be considered, pending availability of funds.
